FPS uses DTTN and
DTTN-Enabled solution to simplify document management

On a typical day, the number of documents that pass through a trading company will number several dozen at the least, and may even exceed a hundred. To process these documents efficiently is no easy task. This is particularly true in the logistics industry, where there are also many different kinds of documents to deal with. To improve operational efficiency, the Hong Kong-based international logistics and transportation firm Famous Pacific Shipping (HK) Limited ("FPS") has adopted the Digital Trade and Transportation Network ("DTTN"), a move which has greatly simplified the company's document management process.

FPS's range of business services is extensive and includes a number of logistics solutions, with a focus on overseas shipping. The company's operations network links China's most important cities to the rest of the world. According to FPS's two Directors - Hong Kong, Patrick C.S. Lau and Edmond T.W. Tong, the company has for a long time wanted to reduce the resources spent on document processing, especially during peak seasons. DTTN and its compatible software solutions have eliminated the company's resources on re-entering data manually into their system, hence expediting the entire process.

According to two Hong Kong Directors of FPS Patrick C.S. Lau and Edmond T.W. Tong, DTTN can accelerate the entire working process.

David K.W. Wong, Operations Manager - Hong Kong of FPS says that DTTN can reduce the risk of error.

FPS's Operations Manager - Hong Kong David K.W. Wong says, "Before adopting DTTN, whenever we received a fax or email order from a client, the details would have to be entered manually into our internal system. Now, with the DTTN solution, all information received from our clients is transmitted through the DTTN platform and uploaded to our internal system automatically. This avoids the hassle of re-entering data and reduces the risk of error. All it takes is the push of a few buttons, and in a matter of seconds the job is done. DTTN has reduced the time required for such tasks by between 20 to 30%, and this may reach more than 40% in the future. This will bring an improvement on the company's efficiency and competitive strength."

FPS has made use of the DTTN-Enabled solution Pro 2 software developed by independent software vendor ACME Systems Limited ("ACME") to connect their internal system to DTTN. ACME's Project Manager Andy S.H. Tsai explains that, when developing this software, they strove to eliminate any unnecessary commands, making the software interface as simple and user-friendly as possible. In this way, not only is the software easy and convenient to use, it can also be mastered in a short period of time without any extensive user training.

To make the connection to DTTN using ACME's Pro 2 software smoothly, consultants from Digital Trade and Transport Network Limited ("DTTNCo") and ACME first assessed FPS's business and operational requirements. As FPS began to deploy the solution, ACME and DTTNCo kept close monitoring the proceedings and perform system checks. After some initial effort from all parties, FPS now operates the solution in an even more streamlined manner.

As Edmond Tong explains, business processes are increasingly being automated. This trend will soon become a standard practice, as it can greatly reduce costs. Moreover the existence of electronic platforms like DTTN means that facilitate companies' business and trade activities with overseas clients in places like Singapore, Europe and the US. He further points out that the increase popularity of e-commerce in recent years has accelerated the trend towards environmental protection; indeed, many business offices have already become "paperless". He believes that electronic platforms like DTTN will become more and more popular.

According to Patrick Lau, "DTTN is extremely valuable; it helps everybody. With a bit more publicity from the authorities, more and more companies will adopt this solution. This will increase the value gained from using DTTN, which in turn will benefit all businesses."
